YachtOpera ("YachtOpera", "we", "us", "our") provides a yacht and fleet management software platform, including maintenance planning, crew records, document and certificate management, and compliance tracking, made available at yachtopera.com and through the YachtOpera application. a) Contact and enquiry data — when you request a demo or contact us through our website: your name, email address, vessel or company name, and the content of your message.
b) Account data — when you or your organization signs up to use the platform: name, email address, role/title, and login credentials (passwords are stored using industry-standard hashing and are never visible to us in plain text).
c) Vessel and operational data — information you or your organization enters about vessels, including registration details (name, IMO/MMSI number, flag state, class), maintenance records, and operational logs.
d) Crew and personnel data — where you use the platform to manage crew, this may include: names, nationality, contact details, passport or seaman's book numbers, certificates of competency, training records, contracts, and rest-hour/work records. Some of this data — for example, information contained in medical certificates or fitness-to-work records uploaded to the platform — may constitute special category data (health data) under applicable law. We process such data only because you, as the vessel operator or manager, have chosen to store it on the platform for your own crew-management and compliance purposes, and it remains under your organization's control.
e) Documents you upload — certificates, insurance policies, survey reports, and other documents you upload to the platform, which may themselves contain personal data about crew, surveyors, or other individuals named in them.
f) Technical and usage data — standard information collected automatically when you use our website or application, such as IP address, browser type, device information, and pages visited, generally through server logs rather than third-party tracking cookies (see Section 7).
We use personal data to: provide, operate, and maintain the platform and respond to support requests; respond to demo requests and enquiries submitted through our contact form; process documents you upload, including AI-assisted extraction of dates, certificate numbers, and similar structured information, to power features like expiry tracking and reminders; maintain the security and integrity of the platform, including detecting and preventing misuse; comply with legal obligations; and, with your consent, send you product updates or marketing communications (you may opt out at any time).
We do not sell personal data, and we do not use vessel, crew, or document data you store on the platform to train third-party AI models beyond what is strictly necessary to provide the platform's own document-processing features.
Where UK GDPR or EU GDPR applies, we rely on: performance of a contract, legitimate interests, consent (for optional marketing communications), and compliance with legal obligations.
We share personal data with a limited number of service providers who process it on our behalf, under contractual confidentiality and data-protection obligations: our database and authentication provider (Supabase), our hosting provider, and, where applicable, third-party services used for document scanning/OCR and AI-assisted data extraction. We do not sell or rent personal data to third parties for their own marketing purposes. Where any of these providers process data outside your country or the European Economic Area, we take steps to ensure appropriate safeguards are in place, consistent with applicable law.
We retain personal data for as long as your account or your organization's account remains active, and for a reasonable period afterward to comply with legal, accounting, or regulatory requirements, or to resolve disputes. Vessel operators and managers are responsible for managing the retention of crew and vessel data they store on the platform, consistent with their own legal obligations (for example, flag-state or MLC record-keeping requirements).
Our website uses only the cookies necessary for it to function (for example, to keep you logged in and remember basic preferences). We do not currently use third-party advertising or analytics cookies. If this changes, we will update this policy and, where required, request your consent.
Depending on your location, you may have the right to: access the personal data we hold about you; request correction of inaccurate data; request deletion of your data; restrict or object to certain processing; request a portable copy of your data; and withdraw consent at any time where processing is based on consent. To exercise any of these rights, contact us at info@yachtopera.com. If you are in the UK, you have the right to lodge a complaint with the Information Commissioner's Office (ICO). If you are in the European Economic Area, you also have the right to lodge a complaint with your local data protection supervisory authority.
Our platform is intended for business and professional use and is not directed at children. We do not knowingly collect personal data from children.
We use reasonable technical and organizational measures — including encryption in transit and access controls — to protect personal data. No system is completely secure; we encourage you to use strong, unique passwords and to report any suspected security issue to info@yachtopera.com.
We may update this policy from time to time. If we make material changes, we will update the effective date above and, where appropriate, notify account holders directly.
